How Do I Customize a Notification Message?

You can customize notification messages within each module. Let's use the "Visit Employee" button as an example.

Customize the notification sent to employees?

One of the best things about Greetly (outside of automating mundane tasks so you can get more done) is the ability to customize the reception experience for your workspace.

You can customize notification messages within each module. Let's use the "Visit Employee" button as an example.

 

After logging in to the Admin Portal, go to the following:

Check-in Options > Visit Employee | Edit Button Options

Scroll down to "What notification would you like to send to the employee?"

There is a default greeting that is already populated in the text box, but you can change the message that will appear in the voice/text/e-mail notification. To make it more personalized, you can use the following short-codes to insert dynamic information:

  • [host_first_name]
  • [host_last_name]
  • [first_name]
  • [last_name]
  • [email]
  • [phone_number]
  • [company]

Just remember, you have to be collecting that data field in order to use it in the notification!

Here are some examples:

Important notes:

  • Any spaces at the start of a custom message for employee notifications won't translate into SMS
  • Do Not include any symbols in your notification messages

Unfortunately, the system can't read symbols at this time (ex: &, @, $ etc.)

  • Example of how to add your company name if it has a symbol

Incorrect way: Salt & Pepper Inc.

Correct way: Salt and Pepper Inc. 👍

 

Example 1 message sent to the visitor:

Greetings [host_first_name]! This is the reception desk. [first_name] [last_name] from [company] is here to see you. If you need to contact [first_name], they can be reached at [phone_number]. Have a great day!

 

Example 2 message sent to employee:

Hello [host_first_name]! This is the reception desk. [first_name] [email] from [company] is in the lobby to see you. Have a great day.

 

Our recommendation is you communicate clearly, but also have fun with your reception notifications!
