Using the Visitor Log

Visitors who check in with Greetly will appear in the Visitor Log. Use the Visitor Log to find visitor information, to review visit details, to view or save reports, to manually print badges, or to check visitors out.

You must be a Global or Location Admin, or a member of the Security team to access the Visitor Log.

Finding the Visitor Log

The Visitor Log is part of the web admin portal.


To view the Visitor Log for a specific location, first select the required location from the dropdown menu on the left-hand side of the navigation bar.



Then select Visitor Log from the top navigation bar.

The Visitor Log screen then opens to its default view. 


Overview of the Visitor Log

The Visitor Log contains a series of columns, as well as an icon menu on the right-hand side of the screen. You can use these icons to search, filter, or download the information from the Visitor Log. You can also check out visitors or print visitor badges from here. 


Searching the Visitor Log

Use the magnifying glass icon to the left of the columns icon to do a search of Visitor Log information.

 

Customizing Your View of the Visitor Log

Add or remove the columns shown by default in the Visitor log using the three-column icon in the top right-hand side of the screen. 



You can also create custom columns, and there are column options available for Digital Mailroom, if this feature is enabled. A column can also be sorted by selecting its titles at the top of the column.

If you want to save this new view, use the gear icon to the far right-hand side of the screen. 

Filtering Information from the Visitor Log

To further refine the information you see in the Visitor Log, use the filter icon to the right of the columns icon. 



Filter options include:

  • Photo
  • Company name
  • Visitor name
  • Type of 
  • Host name
  • Checked in
  • Checked out

Downloading a Visitor Log Report

Using the cloud icon to the right of the filter icon, you can download required information to a PDF or CSV file as a report. The file will be emailed to you.


You are also able to download documents signed by visitors during the check-in process. 

Creating or Saving a Visitor Log Report

Use the gear icon to the right of the clock icon to create and save a specific report view to download.

Each report is titled “Visitor Log” by default. 

To change the name of the report, select Create New.

Then enter a name for the new report.

Scheduling Regular Visitor Log Reports

You can also have the Visitor Log reports downloaded automatically and sent to you or other individuals daily, weekly, or monthly, using the clock icon. The delivery time is synced to the location's time zone where this option is set.


Refreshing the Information in the Visitor Log

To refresh the information in the Visitor Log, use the circular arrows icon to the left of the clock icon.

Printing Badges from the Visitor Log

If the badge printing option for check-in has been enabled with a connected printer, you are able to manually print badges for visitors from the Visitor Log. 

Select the briefcase icon to the right of the cloud (download) icon. 


You can choose to print an existing badge, or you can select Create Badge to customize a new badge using the Badge Builder. You can also select the quantity of badges to be printed. 

Checking Out All Visitors with the Visitor Log

Use the orange Check Out buttons in the Check Out All column to check out individual visitors, or can use the Check Out All button at the top of the column to check-out all visitors in a single action. 



Please note, if your organization has enabled Queue Management, then the Check Out All column will display a custom message, and you will not be able to check out visitors from this screen. 

Deleting Information from the Visitor Log

You are able to delete previous visitor records to ensure security and privacy is compliant with  your organization’s data retention policies. This setting can be configured uniquely for each location and set to values of 7, 30, 180, or 365 days. The system will automatically delete any visitor record older than the set threshold.

Please note that deleting of logs is permanent and that logs cannot be restored.

This optional setting can be found in the Location tab under App Settings.
